The Pink Polka Dot offers several service levels, from hourly planning and design consultations to full service planning. As we only take a limited number of weddings each year, we encourage you to contact us early in the planning process! Please review offerings below and contact us with any questions!


If you are are looking to take care of some of the planning, but would like help along the way, our partial planning service is the perfect solution.  In addition to being a resource  throughout the planning process, we will be onsite to coordinate your rehearsal and wedding day, eliminating stress for you and your family! We understand the planning process changes as things progress, and with this level of service, you are in control of how much you utilize us! As the wedding approaches, we will meet with you at least one month before your big day for a details meeting.  During this meeting we will cover EVERY detail of the day so we are 100% comfortable and up to speed with your vision and details.  From there, we will reach out to your vendors, confirm all details and create a very detailed timeline.  Finally, we will be onsite to coordinate your wedding rehearsal and wedding day to ensure each detail is perfect, troubleshooting when necessary and managing the flow of the event.  In addition to hourly planning, the following month-of services will also be performed:

  • Details meeting at least 1 month prior to wedding date (preferably in person, but can be a phone call)
  • Review vendor contracts to become familiar with services to be provided and contact all vendors to confirm arrival/delivery times and services to be provided*
  • Create a detailed timeline and distribute to vendors as necessary*
  • Present at rehearsal to ensure it flows smoothly and to answer any questions; will facilitate rehearsal in absence of officiant (up to one hour included)
  • Onsite for your wedding day to coordinate and manage the event (up to 8 hours included)
  • Handle any remaining vendor payments on wedding day
  • Provide wedding emergency kit
  • Coordinate the delivery of rental items (being present for delivery and assisting with set up will be invoiced separately)
  • Ensure the design of the venue appears as anticipated; a site visit will be performed if necessary (additional setup that interferes with remainder of responsibilities will be considered an additional service and invoiced accordingly)
  • Assist the wedding party with any last minute needs
  • Distribute flowers to everyone who should have them
  • Direct the wedding party so they are in the proper place at the proper time
  • Line up bridesmaids, groomsmen, and other members of the bridal party
  • Fix dresses prior to walking down the aisle
  • Coordinate reception events
  • Monitor the card and gift table throughout the reception
  • Collection of cards, gifts, and any other items to ensure they are stored safely
  • Coordinate the return of rental items (we will coordinate the timing of pickup only, and will not be onsite)

Items marked with an (*) are invoiced at our hourly rate, as each wedding is different and the amount of time involved varies.

Our full service wedding planning service designed with you in mind.  After an in-depth consultation, we will begin planning each detail based on your vision.  From finding a venue and providing vendor recommendations at the beginning, to setting up the details on your wedding day, we are with you every step of the way ensuring your wedding vision becomes reality all while saving you time and money.   Unlike traditional cookie cutter planning packages, ours are tailored to your individual desires.  Our clients begin with the day-of package above and add on from the services listed below.  This ensures you only pay for the planning services utilized! Full planning services may include:

  • Meet with you to discuss wedding colors, theme, and vision (may be a phone conversation if you are not local)
  • Be available throughout the planning process to answer any questions or just to chat about ideas you may have for your wedding; respond to phone calls and emails, in addition to progress meetings as needed
  • Create a wedding planning checklist/timeline to keep everyone organized
  • Assist in creating and maintaining a practical budget for your wedding and wedding related events – we will even keep track of your payments and remind you when vendor payments are due
  • Provide venue recommendations for ceremony and escort you to site visits to determine which are best suited for your wedding day (or go in your place if you are unavailable)

  • Aid in development of design scheme and develop a plan to best utilize selected ceremony and reception spaces
  • Provide vendor recommendations and accompany you to vendor meetings or go in your place if you are unavailable
  • Review vendor contracts and work closely with vendors throughout the planning process
  • Assist you in selecting stationery, including save-the-dates, invitations, programs, menu cards, escort cards, etc.
  • Assemble and mail save-the-dates and/or invitations (postage provided by the client)
  • Manage your guest list and keep track of RSVP’s
  • Assist with your seating chart and reception layout
  • Assist in selecting wedding favors
  • Assist in selecting wedding party attire
  • Accompany you to shop for a wedding dress and attend final dress fitting
  • Coordinate accommodations and transportation for out-of-town guests, as well as assembling and delivering customized out-of-town welcome gifts (welcome gifts priced separately)
  • Assist in planning any other wedding related event, such as rehearsal dinner, day after wedding brunch, and/or honeymoon
